About Mentis Care

Mentis Care is building AI-powered neuro-monitoring technology to transform epilepsy care. We combine wearable EEG, advanced AI models and a cloud-based clinical platform to give patients and clinicians a continuous, real-world view of neurological health. We are backed by global pharmaceutical partners. This role has a target start of April 2027.

The role

We’re looking for a driven people and workplace professional to make Mentis Care a great place to work. You’ll run our Toronto office, shape the employee experience and culture, and own day-to-day people operations for a team growing to 25 people across Canada and the US. You’ll be the first person in this role, so you’ll set priorities, build the foundations and do much of the work yourself. You’ll report to the CEO and work with a high degree of independence. You’ll also work closely with the Chief of Staff, Finance and IT. As the team grows, the people side of the role will grow with it.

What you’ll do

  • Carry our culture and values day to day, and find new ways to strengthen them as we grow.
  • Plan and run team summits, offsites, socials, celebrations and all-hands logistics.
  • Run our conference logistics, including registration, travel, materials and shipping.
  • Own company swag, new hire welcome kits, business travel and a simple travel and expense policy.
  • Run light internal communications, such as new hire announcements, office updates and pulse surveys.
  • Run hiring for every role, including job postings, recruiter coordination, sourcing, screening, interview scheduling and scorecards.
  • Prepare offer letters with the CEO, and run onboarding and offboarding.
  • Maintain employee records, the org chart, a simple HR system, and the handbook and core policies for Canadian and US employees.
  • Administer payroll inputs, benefits and leave tracking with Finance and our providers.
  • Be the first point of contact for employee and manager questions, and bring in employment counsel when needed.
  • Run the annual performance review cycle, and keep personnel records to the standard our quality system requires.
  • Manage the landlord, building and workplace vendors, and help shape the workplace budget with the CEO and Finance.
  • Keep the office equipped, with a workspace ready for every new hire, and compliant with Ontario health and safety rules.

What you bring

  • 6–10 years of combined experience in office or workplace management and HR generalist or HR business partner work.
  • Experience at an early-stage or high-growth startup, and comfort with a fast pace and shifting priorities.
  • Experience running an office move or fit-out, and managing landlord and vendor relationships.
  • Post-secondary education in human resources, such as a degree, post-diploma or postgraduate diploma.
  • Hands-on knowledge of Ontario employment standards.
  • Experience planning events, offsites or conference presence from start to finish.
  • The ability to set your own priorities, make sound calls and keep the CEO informed.
  • Discretion with confidential information, and the trust of the people you support.
  • Comfort being hands-on across both sides of the role: you’ll meet the landlord in the morning and update the handbook in the afternoon.

Nice to have

  • Exposure to US employment practices.
  • Experience in healthcare, life sciences or another regulated industry.
  • Experience working with international teams.

Why join us

  • Shape the culture and workplace of a neurological technology company at a pivotal stage of growth.
  • Work directly with the CEO as the first person in this role.
  • Join a mission-driven company backed by global pharmaceutical partners.
